We are a growing beverage company producing multiple wine and beer brands across the United States. Our operations span several brewery and production partners, and our team manages the coordination of production, logistics, vendors, and shipments across multiple markets.

We are seeking a highly organized Operations Assistant to support the day-to-day logistics and administrative functions of our operations team.

This role is ideal for someone who enjoys structured work, is extremely detail-oriented, and is comfortable managing documentation, vendors, and logistics processes that keep beverage production running smoothly.

You will work directly with our Operations Coordinator and assist with vendor communication, production documentation, shipment coordination, and operational recordkeeping.


Responsibilities

Production & Logistics Coordination

  • Coordinate with breweries, vendors, and production partners
  • Track purchasing and manage vendor invoices
  • Create and process invoices for buyers and distributors
  • Coordinate shipments and logistics with vendors and freight partners
  • Prepare shipping labels and manage outgoing packages
  • Coordinate product sample shipments

Documentation & Production Records

  • Log Certificates of Analysis (COAs) into internal systems
  • Match product lot numbers with production documentation
  • Maintain organized digital records and operational files
  • Track inventory and production documentation
  • Assist with maintaining operational spreadsheets and internal tracking tools

Vendor & Operations Communication

  • Communicate with vendors regarding shipments, orders, and documentation
  • Schedule freight pickups and deliveries
  • Assist with internal production and logistics tracking
  • Help maintain organized operational workflows

Qualifications

  • Extremely detail-oriented and organized
  • Reliable and comfortable managing large amounts of information
  • Strong administrative and documentation skills
  • Comfortable communicating with vendors and external partners
  • Able to follow established processes and maintain accurate records

Experience in logistics, supply chain, brewery operations, or administrative roles is helpful but not required.

This role is well-suited for someone who enjoys structured work, organization, and supporting production operations behind the scenes.


Position Details

  • Full-time (~40 hours per week)
  • On-site position
  • Santa Monica, California
  • Pay: $19–21 per hour, depending on experience
